Veterinary Flow Lead

What you’ll do:

As Veterinary Flow Lead, you’ll keep daily clinic operations moving safely, efficiently, and compassionately. You’ll serve as the central point person for patient flow, monitor workload across Primary Care, High-Quality High-Volume Spay/Neuter Surgery (HQHVSN), and Dentistry/Procedure areas, anticipate bottlenecks, and shift people and resources in real time so patients receive timely care and team members have the support they need.

This is a hands-on lead role that combines direct patient support, clear communication, workflow coordination, and peer training. Based on your demonstrated strengths, you’ll assist with onboarding and skills development in at least one primary service area: Primary Care, HQHVSN, or Dentistry/Procedures. You’ll work closely with veterinarians, veterinary technicians, veterinary assistants, client-service staff, and clinic leadership to maintain smooth handoffs, accurate records, prepared workspaces, and consistent standards of care.

Work Schedule:

This is a full-time position with a four-day workweek. The Veterinary Flow Lead will work one of the following schedules:

  • Monday–Thursday

  • Tuesday - Friday

Specific schedule assignments will be determined based on clinic needs and candidate availability. Flexibility to support clinic coverage as needed, with advance notice, is required

Compensation

  • The target hiring range for this role is $36–$42 per hour.

  • Starting pay will depend on a variety of factors, including experience, training, education, internal equity, and organizational needs. The hiring range reflects the anticipated range for new hires; compensation may increase over time based on performance and role growth, and the range may be adjusted as needed.

Responsibilities:

Clinic Flow and Team Coordination

  • Lead daily huddles and confirm assignments, scheduled volume, special patient needs, staffing gaps, and anticipated constraints.

  • Maintain real-time awareness of patients from arrival through discharge and help keep each Prioritize tasks and coordinate smooth handoffs among reception, wellness, surgery, procedures, treatment, recovery, and discharge.

  • Identify bottlenecks early, communicate changes clearly, and redeploy available team members or resources in partnership with clinical leadership.

  • Confirm that rooms, treatment areas, equipment, medications, supplies, records, and discharge materials are ready when needed.

  • Support timely breaks and balanced assignments while responding to urgent patient-care and staffing needs.

  • Escalate patient-safety concerns, delays, client issues, equipment problems, or staffing barriers to the appropriate veterinarian or manager.

  • Model calm, respectful communication and reinforce a collaborative, accountable, and solutions-oriented culture.

Training and Hands-On Support

  • Assist with onboarding and hands-on training in at least one primary service area—Primary Care, HQHVSN, or Dentistry/Procedures—based on demonstrated competency and clinic needs.

  • Demonstrate approved workflows, patient-handling techniques, equipment use, medical-record standards, room setup, turnover, and service-specific safety practices.

  • Observe team members during training, provide timely and respectful coaching, document progress, and communicate skill gaps or additional training needs to the appropriate manager.

  • Reinforce clinic protocols and help maintain consistent workflows across shifts without independently changing medical plans or directing tasks outside the role’s training and scope.

  • Provide direct patient-care and operational support during high-volume periods, callouts, or unexpected delays.

  • For Primary Care service: support appointment preparation, patient intake, sample collection, treatments, client education, and efficient room turnover as assigned and legally permitted.

  • For HQHVSN service: lead intake and discharge of patients, support patient preparation, surgical-suite readiness, anesthesia and recovery workflows, instrument processing, and case turnover as assigned and legally permitted.

  • For Dentistry/Procedure service: support treatment-area readiness, diagnostic sampling, imaging preparation, medication and supply setup, patient monitoring, documentation, and cleanup as assigned and legally permitted.

  • Immediately involve a veterinarian or LVT when a task requires clinical judgment, diagnosis, prescribing, anesthesia decisions, or work outside the team member’s authorized scope.

Physical Requirements:

  • Ability to remain active throughout the shift, including standing for extended periods, lifting, bending, kneeling, moving between work areas, and safely handling animals.

  • Ability to use appropriate protective equipment and work safely around medications, cleaning products, anesthetic agents, and animal-related hazards.

Qualifications:

  • Demonstrated proficiency in at least one primary training area: primary, surgery, or dentistry and procedures.

  • Prior lead, training, mentoring, or workflow-coordination experience strongly preferred.

  • Strong understanding of patient flow, safe animal handling, infection prevention, medical records, treatment-area organization, and service-area readiness.

  • Ability to assess competing priorities, make practical workflow decisions, communicate changes clearly, and remain composed in a fast-paced environment.

  • Respect for role boundaries and the ability to escalate medical decisions promptly to a veterinarian or LVT, as appropriate.

  • Strong coaching, teamwork, reliability, organization, and conflict-resolution skills.
