Director of Clinic Operations - Flatbush Veterinary Clinic

Salary: $130,000-170,000 annually, commensurate with experience

Flatbush Cats has grown from a grassroots nonprofit into a citywide disruptor with an inspiring mission: to make veterinary care more affordable and accessible for pet owners.

We do this through Flatbush Veterinary Clinic, which provides high quality, high volume spay neuter and wellness care. We’re focused on keeping pets with their families, not maximizing profit. 

With ambitious goals to expand reach and impact, we are seeking a Director of Clinic Operations to strengthen the systems and processes that power our work at Flatbush Vet.

Veterinary operations / leadership experience is strongly preferred for this role, but not required. Candidates applying from healthcare or other sectors should bring a demonstrated passion for leading successful teams, and a track record of adapting to (and thriving in) challenging and complex environments.

We set ambitious service goals - how many pets can we help? - instead of production targets.

As a key member of the leadership team, you’re focused on supporting our team, building strong systems, and helping more New Yorkers keep their pets happy and healthy. This includes full oversight of operational, team, and finances of our veterinary clinic(s), including future expansion. 

This is a senior leadership role that partners very closely with our Medical Director and Practice Manager - focused on planning, team and strategic support for 30+ staff members. Ideal candidates are deeply passionate about scaling our impact in a sustainable way - ensuring we have the right team members with the tools, systems and resources they need to succeed. 

What you’ll focus on:

People: 30%

  • Partner closely with the Medical Director and Practice Manager to build a culture focused on continuous improvement, knowledge sharing, and constructive feedback

  • Foster a culture of ownership, professionalism, and collaboration across teams

  • Partner with our People Operations team to develop a best-in-class veterinary recruiting, onboarding, engagement and retention process, including professional development and training opportunities

  • Build highly effective performance management systems, incorporating goal-setting, regular reviews, and ongoing two-way feedback

  • Address challenges with sound judgment and timely follow-through

  • Lead or oversee staff meetings, planning sessions, team events, and retreats

Operations: 30%

  • Set ambitious, attainable goals to expand service capacity, helping as many pets and people as possible

  • Lead high-priority strategic initiatives to advance organizational growth

  • Develop and implement OKRs, service targets, and quarterly operational plans

  • Partner closely with veterinary leadership to strengthen clinic workflows, including scheduling, medical records, inventory management, and client communication 

  • Identify operational bottlenecks and implement practical, scalable solutions

  • Develop and share processes and standard operating procedures

  • Support operational readiness for expansion initiatives and new service offerings

  • Lead risk management efforts, including safety plans, insurance, and compliance

Finance: 25%

  • Develop and monitor the annual clinic budget with support from the finance team

  • Lead efforts to meet service and revenue (cost recovery) targets

  • Audit, review and update clinic / service pricing (as needed) on a quarterly basis

  • Lead monthly clinic finance reviews, and implement changes to stay on target

  • Supervise clinic-related accounting tasks, including payroll, AP, month-end close, cash flow, and expense allocations

Tech/IT + Facilities: 15%

  • Lead exciting service expansion and buildout projects to further our mission

  • Ensure teams have modern tools and technology to operate efficiently, including practice management and scheduling systems

  • Oversee facilities planning, safety, insurance, and compliance as the organization grows

  • Strengthen data tracking and reporting systems to improve operational efficiency

While most of this work can be done on a traditional schedule, limited night / weekend support is expected.

Qualifications

  • Strong commitment to our mission to increase affordable access to veterinary care

  • 6+ years of operations leadership experience managing veterinary clinics (strongly preferred), health care, or a high volume mission-based service setting

  • Proven supervisory, team development, and coaching skills

  • Exceptional ability to build relationships, support staff development within diverse teams, and effectively address conflict constructively

  • In-depth knowledge of people, culture and team-building best practices

  • Highly motivated problem solver who can lead projects with limited oversight

  • Excellent time management skills with the ability to prioritize multiple projects and be responsive to shifting priorities

  • Strong written and verbal communication skills; ability to synthesize complex information, communicate key messages and influence organizational thinking

  • Comfortable managing data and reports in Google Workspace, Excel (formulas, Pivot tables, graphs), and veterinary practice management software

  • Comfortable learning and onboarding others on new tools and software

  • Strong knowledge of finance, accounting, and budgeting principles

  • Proficiency in strategic financial management, planning & analysis

  • Experience developing / reconciling budgets and aligning initiatives with goals

  • Strategic thinker with strong analytical abilities and a positive approach to problem-solving

  • Skilled in managing sensitive and confidential matters effectively
